As an admin, you play a pivotal role in maintaining the platform's settings, managing users, and ensuring the smooth operation of its features. This guide will walk you through the essential parts of the platform and settings available to help you get started as an administrator, covering everything from user management to customizing the platform's look and feel.
Typically, there will be a more technical admin role and a more platform design and content-driven admin role. This article focuses on the more technical role, but there might be intersections for your individual role and permission setup.

Administration area
The administration area of Haiilo is the control center where you can manage platform-wide settings and configurations. As an admin, you will have access to various sections, each serving a specific purpose to help you manage the platform efficiently.
For a detailed overview of how to navigate the Admin interface and its elements, please refer to our guide "Understanding the Administration".
Groups and Roles
One of your admin's key responsibilities is to set up a concept to effectively manage and group your platform users. Let's dive into the different terms and elements in detail:
Roles
Haiilo offers a flexible and granular approach to manage your users' roles and corresponding permissions. A role is defined as a selection of permissions that describe what a person can or can't do on the platform. Which and how many roles you create and which permissions these roles consist of are up to you and your company's scenario. In most of the platforms, there are at least three roles:
Some companies split their editorial role into a (regular) editor role and a chief editor role, which offers additional differentiation options. Another beneficial feature is the default role, which defines the basic foundation of permissions every user has in the platform, regardless of whether they are assigned to a specific role.
With its extensive level of granularity and flexibility, Haiilo offers you the option to evolve your company's role and permission concept over time just as your company's culture does.
Groups
Besides roles, groups are the central tool for efficient user management in Haiilo. While a role is defined as a set of permissions, a group bundles a number of users. Following that logic, groups are used for two primary use cases:
- Mirroring of role structure: A typical approach is to bundle users with common roles into groups so that you do not need to manually manage all your users, editors, admins, and further role assignees.
- Platform-wide peer groups: Bundling users with shared characteristics into dedicated groups will help you manage and target them efficiently. This applies to page visibilities, auto subscriptions, community or event invitations, and precise top-down targeting.
For efficient group and user management, we recommend optimizing the groups directly within your user directory and syncing those to Haiilo. Of course, you can also create groups directly in Haiilo without having to connect to your user directory of choice.
Provisioning and Authentication
Although implementing and maintaining Haiilo is clearly everything but an IT-driven project, there are some essential technical elements. The topics provisioning and authentication fall into this category and are a part of every platform setup.
Provisioning
The topic of provisioning describes the process of syncing users from your company's user directory into the platform. Haiilo offers you different options to connect your user directory, as well as two alternatives if this is not possible for your individual use case.

Authentication
While provisioning is about syncing your users into the platform, the topic of authentication is about how your users can log into the platform. To secure a high level of platform adoption, we recommend offering your customers a Single Sign On (SSO), which makes sure your users can use their regular company credentials to log into Haiilo. If this is not possible, a dedicated Haiilo Login is always an alternative.
