As an admin, you can configure how the AI Assistant looks and sounds, and what information it can access and use to generate answers when your users chat with it. These settings help you align the AI Assistant with your organization's brand, communication style, and governance needs. You need the "Manage AVA" permission to manage the AI Assistant's settings.
Your users need the "Access AI Assistant" permission to use the Assistant. Learn more in Using the AI Assistant.
The Assistant's output is only as good as the content on your platform. When your platform is clean and well-organized, it provides better data for the Assistant to work with. Use our cleanup checklist to maintain your intranet for the best experience.
Configure AI Assistant settings
- Go to Administration > AVA > Assistant.
- Optionally, define another name for your Assistant. By default, the name is AI Assistant.
- Choose a tone of voice to determine how the Assistant communicates with your users. The selected tone is applied consistently across the Assistant's responses. The available options are:
- Formal: Clear and professional language.
- Business casual: Friendly and approachable language.

Custom: A tone of voice defined by your organization. If you select Custom, you need to define your own prompt for the AI to use. For example, a custom tone prompt could look like this:
"Use a friendly and approachable tone that feels professional but conversational. Keep answers concise and practical, avoiding overly formal or robotic language. Prioritize clarity and empathy, and explain complex topics in simple terms. Do not translate product names."
When writing your custom prompt, consider including:
- The overall tone you want (e.g., friendly, formal, casual)
- What the Assistant should prioritize (e.g., clarity, brevity, empathy)
- Any specific instructions for your platform (e.g., how to handle internal names or terms)
- Manage the content types the AI Assistant can access and use when answering your users' questions. You can toggle individual sources on or off to customize where the AI pulls its information from.

- Select Save changes to apply your settings.
The Assistant automatically adjusts its colors to match your platform theme, making everything look seamless and integrated.
