Add-on
An add-on is, as the name suggests, a component or feature that you can add on top of the regular capabilities of your platform. With add-ons, you can expand to third-party tools or further customize your platform. These are the add-ons Haiilo offers:

Administration
Within your platform, the Administration section is the central hub where you can manage all essential global settings and users. It gives you complete control over the platform's various aspects, including users, groups, themes, features, languages, security settings, and more.
You can grant different levels of access to the Administration for different people, ensuring that each team member can only access the settings relevant to their expertise. For example, an IT admin can be granted access to security settings, authentication, and user directories, while other team members may not need access to these settings.
By providing these varying levels of access, you can better manage platform settings and ensure that your team members can perform their roles efficiently without compromising on security.

AI
AI, or Artificial Intelligence, refers to human-created technology that attempts to mimic how a human would perform a task. To do this, it uses vast amounts of data to predict results, allowing the AI to carry out tasks and provide responses based on your questions or prompts. Like a human, it improves by learning and doing.
Haiilo's AI tool is called AVA.

Analytics
Analytics refers to the systematic computational analysis of data or statistics. It is used to discover, interpret, and communicate meaningful patterns in data. Analytics can provide you with insightful information about your content creation and user engagement. It goes beyond tracking the quantity of content you create and delves deeper into metrics like user behavior and content performance.
By analyzing platform data, you can gain a better understanding of how your users are interacting with your platform and identify what type of content resonates with them the most. This can help you to improve your employee experience by tailoring your content strategy to meet the needs and preferences of your audience.
There are multiple Analytics options in Haiilo:
- Reports: By default, the platform offers basic analytics with Reports.
- Analytics Add-on: For more in-depth analytics, you can acquire the Analytics Add-on.
- Studio Analytics: You can view analytics on your Multichannel content in the Studio. Learn more in Multichannel Analytics.
API
API stands for "Application Programming Interface", which is essentially a communication channel established between computers or computer programs. At Haiilo, we provide our users with a REST API that enables them to perform custom or bulk changes and customize the platform to suit their specific needs.
Our REST API documentation is comprehensive and contains all the necessary details on how to make API calls. By leveraging our REST API, you can seamlessly integrate your applications with Haiilo and streamline your workflows.

Apps
To effectively engage with users in pages (see Page) and communities (see Community), it is essential to have the necessary tools to create and present content to them. These tools are commonly known as apps, and they play a crucial role in enhancing the functionality of your page or community.
Every app has a unique set of capabilities that can be leveraged to meet your specific needs. You can use apps to manage documents for storage, create a wiki for guidelines, start a forum for questions, publish blog articles with news, and much more.
Essentially, the apps you choose will determine the type of content you can create and how you can present it to your users. By carefully selecting the right apps and utilizing them effectively, you can significantly enhance the user experience and ensure that your content is both engaging and informative.

Authentication
Authentication is an important process that lets your users access your system using the same login details they use for other services. It helps verify who your users are and ensures they have the right permissions to access different areas of your system. By implementing authentication, you can create a secure and user-friendly experience.
There are several ways to set up authentication. One common method is through Single Sign-On (SSO) using third-party services like SAML, OAuth, or OpenID Connect. SSO allows users to log in using their existing company credentials, which means they don't need to create a new account or remember another password. This makes the login process much more convenient.
Alternatively, you can offer local authentication, where users can log in with their email address and password. This option provides flexibility depending on your users' needs.

AVA
Haiilo has developed an advanced AI-powered tool called AVA, which stands for Artificial Virtual Assistant. AVA is designed to assist users in various tasks, from content creation to finding information quickly and easily.
To use AVA, you require an account with a supported AI provider. However, once you have an account set up, you can benefit from AVA's ability to understand natural language and provide helpful solutions to your queries and requests. Whether you need assistance with information finding, content development, or any other task, AVA is a reliable and efficient assistant that can help you achieve your goals in a fast and effective manner.

Chat
The chat feature on the Haiilo platform is a highly efficient and user-friendly tool that enables users to communicate with one another seamlessly. With instant messaging, users can easily engage in conversations without having to leave the platform. You can enable or disable this feature with a corresponding permission, allowing you to decide whether or not to use it on your platform.
The chat feature is not limited to one-on-one conversations; it also provides group chat functionality, allowing multiple users to share ideas and collaborate effortlessly. This feature serves as an excellent tool for teams to discuss and brainstorm ideas, exchange information, and work together towards their common goals.
The chat interface can be accessed through a sidebar, which means that users can continue to browse the platform while chatting with others. In the mobile app, the chat appears as an item in the navigation bar for easy access.

Client Community
Haiilo's Client Community is a space for all our customers' admins and communicators to get involved, stay updated, and discuss all things Haiilo with others. In the Client Community, you can:

Cloud URL
The URL of your platform is the address through which users can access your platform. You can only have one Cloud URL. The Cloud URL is made up of the subdomain you define (see Subdomain) and a domain (see Domain). For example, example.haiilo.app
and platform.coyocloud.com
could be Cloud URLs for Haiilo platforms.
Community
A Community, as a general term, is defined as "a group of people with a common characteristic or interest living together within a larger society" (Merriam-Webster). This is precisely what Haiilo aims to create: a space where employees and colleagues with similar interests or topics can communicate and interact with each other.
Communities are an excellent way for individuals to unite around shared interests, objectives, or themes. They are particularly useful for teams or projects that require frequent interaction, coordination, and discussions on relevant topics. By allowing users to create communities on a social intranet, you can foster a collaborative environment that encourages participation, engagement, and knowledge sharing among team members.
Communities can be customized to suit the specific needs of the team or project, with features such as forums for discussions, wikis for knowledge sharing, and more.
Contrary to how pages (see Page) can be mandatory, participation in communities is always voluntary. Users can be invited or added to communities, but they can freely decide whether to join them. Users are members of communities.

Custom domain
A custom domain is a feature that enables you to personalize your platform's domain (see Platform and Domain) according to your specific business needs and preferences. By using a custom domain, you can effectively remove any reference to Haiilo and brand it entirely for your company. This helps to establish a more consistent presence for your employees and makes it easier for them to recognize your platform as a tool for your company.
You need the Custom Domain add-on (see Add-on) to customize your domain. Without the add-on, you can only define your subdomain (see Subdomain).

Domain
If you're hosted in Haiilo's Cloud, your platform domain is automatically determined. At Haiilo, we use two main domains: haiilo.app
(current) and coyocloud.com
(previous).
You will define a subdomain (see Subdomain), which will be combined with your domain to form your Cloud URL (see Cloud URL). This Cloud URL will be the primary way for your users to access your platform.
Alternatively, you can define a custom domain (see Custom domain) with the Custom Domain add-on (see Add-on). This allows you to use your own domain instead of haiilo.app
or coyocloud.com
.
EMM
Enterprise Mobility Management (EMM) is a comprehensive set of tools and technologies that enable organizations to secure, monitor, and manage mobile devices, applications, and data used by their employees. EMM solutions provide businesses with the ability to control access to corporate resources, enforce security policies, and ensure compliance with industry regulations.
These solutions typically include features such as device management (MDM), application management (MAM), content management, and security management.

Event
The Events feature is designed to help you plan and organize company events and invite your colleagues to attend them. This feature provides an excellent opportunity to keep your users informed about the upcoming events at your company in general. You can use it to create and manage various types of events, such as employee events like summer parties and after-work gatherings or company events such as workshops and off-sites.
You can easily communicate with event participants directly on the platform. You can send out event invitations, manage RSVPs, and share important updates or announcements with attendees. This not only helps you keep everyone on the same page but also ensures that all event-related communication is centralized and easily accessible.
Events can also be synced to users' calendars if your platform utilizes the Google or Microsoft add-on (see Add-on).

File library
The File Library, also known as the Document Library, contains all uploaded files on the platform, whether they are yours or uploaded by others. Like a regular library, it's a collection of resources, in this case, uploaded files, images, documents, and more.
You can find your own files in the My Files section and files uploaded by anyone in the file libraries of specific pages and within communities where the file has been uploaded. The File Library is accessible to all users as long as the corresponding permission has been assigned to them, but each user only has access to the libraries in pages and communities they have permission to access.

Global Search
The global search feature is the powerful search function available within the Haiilo platform. It allows you to search for content across all the locations that you have permission to access. This means that you can quickly and easily find information from various sources, such as blog articles, forums, comments, files, and more.
Moreover, the global search feature is designed to be highly intuitive and user-friendly. It provides you with advanced search filters that allow you to narrow down your search results to the specific information you need. You can sort the search results by relevance, date, or other criteria, making it easy to find the most recent and valuable information.
By using AVA (see AVA) in the search, you can significantly speed up and simplify the process of finding information, as AVA can generate answers based on the data in your platform.

Groups
Users can be categorized into groups, for example, according to their user attributes or profile information. By using groups, you can manage users on a higher level, making it easier to monitor and control access to elements such as pages, events, or Studio posts. This approach ensures that users have access only to what they need, preventing unauthorized access to sensitive information or resources.
Groups also make it easier for you to manage roles and permissions (see Roles and Permissions). Managing users through groups provides a more efficient way of handling user accounts, especially in cases where there are a large number of users. You can easily make changes to a group's permission level rather than having to manage each user account individually.

Haiilo Advocacy platform
The platform previously known as Smarp is a separate platform from the Haiilo platform.
The platform is a centralized hub that enables employees to discover and share valuable content with their colleagues and followers on social media platforms. It is a powerful tool that helps organizations amplify their brand message, increase employee engagement, and foster a culture of advocacy. The Haiilo Advocacy platforms use the smarpshare.com domain.

Hero teaser
The hero teaser refers to a prominent display area at the top of the homepage (see Homepage), designed to highlight key content or calls to action. It can serve as an engaging introduction to your platform's most important aspects, drawing the viewer's attention with a combination of compelling imagery, text, and interactive elements.
The hero teaser can act as a strategic tool used to capture interest and encourage further exploration of the platform. It includes images with a clear, concise message and is often clickable to direct users to learn more or take a specific action.
The primary goal of the hero teaser is to present important information, make a strong first impression, and guide users toward key areas of interest or engagement within or outside the platform.

Homepage
A homepage is typically the first screen that users see when they access the platform. It should provide users with a personalized overview of what the platform offers and easy access to the most important information and functionalities. This can include displaying news, updates, and announcements, highlighting key features of the platform, and providing quick access to frequently used tools and resources.
You can have multiple homepages with different focuses and audiences and allow your users to switch between them.
By making the homepage user-friendly and informative, you can help ensure that users have a positive experience on your platform and can quickly find the information they need.

Launchpad
The launchpad is a centralized feature designed to enhance user efficiency by providing quick access to frequently used applications, tools, and resources. Essentially, the Launchpad acts as a shortcut, serving as a directory for organizational and personal resources.
Admins can create Launchpad links for their users, or users can add their own for their specific needs, ensuring a personalized and intuitive experience for all.

Local user
On the Haiilo platform, a local user is an account that is created directly on the platform without being synced or linked to a user directory (see User directory). As such, this type of user account only exists on the Haiilo system and is managed manually by the platform admins. This means that any changes to their account or profile can only be made inside the platform itself.

Mobile app
Haiilo offers a standard mobile app that allows users to access the platform and its functionalities from their smartphones or tablets. This provides greater flexibility and convenience for front-line workers or users on the go.
The standard mobile app is Haiilo, which can be downloaded from the Google Play Store or Apple App Store. It can also be distributed using an EMM / MDM / MAM (see EMM) solution.
Alternatively, Haiilo offers a White Label Mobile App add-on (see White Label Mobile App and Add-on) that allows you to brand the mobile app completely according to your company's corporate design and identity.

Moderator mode
Moderator mode is a functionality that can be activated if you have the corresponding permission. It allows you to view and manage all aspects of your Haiilo platform, except private chats. This includes managing pages and communities you aren't subscribed to or a member of and taking actions as an admin. Essentially, activating moderator mode temporarily grants you supreme control over your platform.
Additionally, in moderator mode, all of Haiilo's features are activated. If, for example, you have deactivated the chat for your users, it is nevertheless displayed for you when you're in moderator mode. Similarly, you can see all available homepages in moderator mode even if they are currently not activated.

Module
Haiilo's product consists of four modules, each a key component of the Haiilo Employee Experience Platform. You can have one or multiple modules in use on your platform. The modules are:
- Multichannel Communication, abbreviated Multichannel
- Modern Intranet, abbreviated Intranet
- Employee Advocacy, abbreviated Advocacy
Each module has a unique set of features and capabilities. To access its features, the specific module must be in use. To acquire a module, contact your Haiilo Account Manager.

Multi-language
The Haiilo platform is designed to be user-friendly and accessible to people from different linguistic backgrounds. This is why we offer a multilingual interface that allows users to view and interact with the platform in their preferred language. A user's preferred language is the language defined in their settings. They can easily switch the interface language to any activated language.

One of the most significant advantages of pages is that they allow users to subscribe to them, ensuring that they receive all the latest updates and information. If necessary, auto-subscription can be enabled to make certain pages mandatory, ensuring that all users or groups of users receive critical information without fail.
Overall, pages are a powerful tool for disseminating important information. They promote transparency, consistency, and clarity, making it easier for organizations to maintain a cohesive and informed workforce. By utilizing pages, organizations can ensure that all users have access to the latest information, reducing the risk of errors, miscommunication, and confusion.

Permissions
Permissions play a crucial role in regulating user access and interaction on the Haiilo platform. They determine what a user is allowed to do on the platform. The more permissions a user is given, the more actions they can perform on the platform.
Permissions are highly granular, which means that they can be customized to control access to specific features and functionality within the platform. If a user cannot perform certain actions, such as creating a community, they probably lack permission for this.
Furthermore, the Haiilo platform allows for the creation of custom roles (see Roles), each with its own set of permissions. This enables you to create tailored user experiences that are optimized for your specific needs. By assigning different permissions sets to different roles, you can ensure that users only have access to the features and functionality that are relevant to them while also maintaining a high level of security and control.

Platform
In the context of Haiilo, a platform refers to the entire ecosystem or foundation upon which various features and functionalities are built. Think of it as a digital space where users can engage with Haiilo's features to achieve their goals. This includes:
- The core software application that users access to interact with Haiilo's services.
- The underlying infrastructure that supports the application, such as servers and databases.

When referring to "your platform" in any documentation, we mean your company's Haiilo and all its features, settings, etc.
Plug-in
The Haiilo platform offers a range of powerful features to its users. However, plug-ins can be integrated to make the platform even more versatile and customizable. You can develop these plug-ins independently or with a partner. Haiilo also offers some ready-to-go plug-ins.
When a plug-in is integrated, it essentially "plugs in" to the existing framework of the Haiilo platform, adding specific features or functionalities. This allows for a high degree of customization to suit your specific needs.
It's worth noting that plug-ins are not necessarily essential to the core functions of the Haiilo platform. Instead, they provide additional capabilities that can enhance the overall experience for users. For example, a plug-in could be developed to integrate another software program you use into Haiilo, making it easier to access multiple tools from one centralized platform.

Product Update
There are two main ways to stay informed about the latest product updates at Haiilo.
- Join our Client Community (see Client Community). This is a space where you can connect with other users, ask questions, and share your experiences. We also post important updates and announcements about our products here.
- Subscribe to our newsletter (see Newsletter). We send out regular emails to our subscribers with information about new features and other important news. It's a great way to stay up to date with what's going on with Haiilo.
Roles
Roles are an essential aspect of defining permissions (see Permissions) for groups (see Groups) of users. Each role specifies a set of permissions that users assigned to that particular role are given.
If you use the default role (see Default role), it serves as the basic structure, granting initial permissions to every user. In addition to the default role, any other roles that users may have will complement it.
For example, a role may grant users permission to manage certain settings or access specific features within the platform. You can customize the permissions for each role to ensure that users with that role have access to the appropriate resources and capabilities.

Service Desk
The Service Desk is a dedicated support channel where you can contact Haiilo's Customer Support team to get help with the Haiilo platform. The Service Desk allows you to:
- Submit tickets for technical issues or questions you have about using Haiilo.
- Track the status of your existing tickets and communicate with Haiilo's Support Team.
Only dedicated admins from your company can contact the Service Desk. You decide which admins receive Service Desk accounts to the Haiilo Service Desk. The number of Service Desk accounts you can allocate depends on your selected service package (see Service package).

Service package
Haiilo offers four different Service Packages that determine the level of support you receive: Basic, Bronze, Silver, and Gold. These packages typically vary in features like:
- Number of Service Desk accounts: This determines how many people in your organization can submit tickets directly to Haiilo's Service Desk (see Service Desk).
- Response Times: Higher-tier packages often come with faster-guaranteed response and resolution times for your tickets.
- Phone support: Higher-tier packages come with dedicated phone support.
Haiilo outlines the specific features and pricing of each service package. You can choose the package that best suits your organization's needs and budget.

Status page
The status page shows the real-time operational health of Haiilo's cloud services. It provides real-time updates on any incidents, outages, or scheduled maintenance that might impact users. You can subscribe to email notifications to be notified when there are any outages or upcoming scheduled maintenance.

Studio
Take your official communication a step further in the Studio, which is designed to assist you in crafting and disseminating important and critical updates and news with ease. In the Studio, you can create and send content to your selected audience that they can access no matter where they are located. The platform's intuitive calendar feature allows you to plan and schedule your content releases effectively, while the built-in analytics tools enable you to track the performance of your content in real-time.

The first part of your platform's Cloud URL (see Cloud URL) is the subdomain. You choose the subdomain for your platform yourself. For example, in example.haiilo.app

. Your subdomain and domain (see Domain) make up your Cloud URL.
You can change your subdomain at a later date, but it has side effects for your platform. Learn more in Changing your subdomain.

You can create, manage, and customize themes in the Administration (see Administration) to ensure that your platform's theme aligns with your business goals and appeals to your users. This enables you to have complete control over the visual elements of your platform and provide a cohesive and visually appealing user experience.

Timeline
The Haiilo platform provides its users with a timeline feature, which is a personalized newsfeed specifically designed to deliver relevant information and facilitate communication quickly and efficiently. The timeline's primary use case is to ask short questions, give fast updates, and start or participate in conversations in an accessible and efficient manner.
There are different versions of the timeline available across various pages, communities, events, homepages, and user profiles (see Page, Community, Event, Homepage, and User profile). Each timeline element has a particular function and use case, and users can interact with each element in specific ways. However, regardless of which timeline element you're using, the actions you can take when creating a timeline post are the same.
Overall, the timeline feature is an essential component of Haiilo. It enables users to stay informed and connected in a streamlined and convenient manner.

Translation

User profile
Each user on the platform has a profile containing their personal information and timeline (see Timeline). The profile provides insights into the user's background and contact information. Information added to your profile makes it findable in the search (see Global Search). You can also upload a profile image to personalize your profile.
