When a user logs in to your platform for the first time, they go through an onboarding journey. During this journey, they can make certain choices to personalize their account and experience on your intranet. You can activate/deactivate the onboarding journey in the Administration.
This article gives you an overview of the onboarding journey and the screens your users will see along the way. We've listed the screens in the order they appear. Keep in mind that the journey might look different based on your platform's settings. For each screen, we've included the dependencies that need to be in place for the screen to show up during onboarding.
In our example screenshots, you can see the default text that will appear on the screens. You can customize the text for each screen by editing the interface translations. Just search for language keys containing the word ONBOARDING. Learn more in Customizing interface text.
Take the onboarding journey
After the onboarding journey is activated, new users who log in for the first time will go through it.
Throughout the journey, users can perform certain actions on the screens and select Continue to view the next step until the onboarding is complete. After finishing, they are automatically redirected to your platform's homepage.
Users cannot go back a step in the onboarding process. However, they can optionally select Skip onboarding at any time to stop the process and go directly to your platform homepage.
If the user leaves the platform mid-onboarding (but doesn't skip) and logs in again later, the onboarding will restart from the first step again, but any choices the user made (e.g., following colleagues, joining communities) will be remembered.
Steps in the onboarding journey
Welcome & Language
Dependency: None. This screen is always shown.
On this screen, users can see a personalized message welcoming them to your platform.
Additionally, users can select their preferred language. The screen is first shown in your platform's default language, and depending on the user's choice, all subsequent onboarding screens and the platform are shown in the preferred language. The available language options are determined by the languages that your platform has activated.
Users can later change their preferred language in their Account settings.
Colleagues
Dependency: Your platform has at least one active user apart from the onboarding user. The Follow button is only shown if the onboarding user has the "Follow user" permission.
On this screen, users can see up to six colleagues that they can follow. Following users makes it easy to stay updated on what their colleagues are sharing on the platform.
We aim to show the colleagues who are most relevant to the user. We'll follow some simple steps: if one filter doesn't match, we'll check the next one until we find six colleagues to display:
- If an Employee-Manager relationship is available through a connected user directory, we will show the user's manager and their team.
- If a Department is specified for the user, we will find colleagues within the same department.
- Otherwise, we will display the colleagues with the most followers on the platform.
We only showcase colleagues who have a profile and cover image, ensuring a welcoming and visually appealing experience.
Communities
Dependency: Your platform has at least one active public community, and the onboarding user has the "Access communities" permission.
On this screen, users can explore up to six communities they may want to join. Joining any of these communities allows them to connect with colleagues and share ideas that align with their interests and tasks.
- The first three of these communities can be ones the user has already been invited to. These communities are likely to be the ones that interest the user the most.
- Additionally, the other suggestions are for popular public and active communities with the most members. These communities are often relevant and interesting to many users.
Pages
Dependency: Your platform has at least one active public page, and the onboarding user has the "Access pages" permission. The Subscribe button is only shown if the onboarding user has the "Follow page" permission.
On this screen, users can find up to six pages they are or can subscribe to. Subscribing to pages is essential for staying informed on company news and easily finding important information.
- The first three of these pages are pages the user is auto-subscribed to, acting as a reminder of where to find the most important content.
- The remaining pages are public pages to which the user isn't subscribed but has the highest number of subscribers, indicating that they may be relevant for the user to subscribe to as well.
Finalize
Dependency: None. This screen is always shown.
The final screen informs the user that the platform is being prepared based on their personalized choices.
This page cannot be skipped, but after a quick final preparation, the user will be automatically directed to the homepage.
When the user arrives on the platform, they'll also experience the platform tour, which builds on the concepts from the onboarding journey by showing how to navigate and find various platform elements.
