Sending email newsletters Beta

Once you have created a newsletter, you can send it or submit it for approval. Your available actions will vary based on your permissions.

Once an email newsletter is sent out, it cannot be edited, unpublished, or retracted.

The time it takes to distribute an email newsletter varies based on the number of recipients and several contributing factors, including the overall length of the newsletter, the size of any attachments, and the complexity of its design.

Send a newsletter

You generally need the "Publish Newsletters" permission to send newsletters without approval. However, if you are targeting the newsletter only to the Page(s) you are an admin of, you can send it without approval or "Publish Newsletters" permission.

  1. Select Review & Send in the editor toolbar
  2. Review your newsletter's details
  3. Select Send newsletter to send your newsletter. If you need to make changes, select Back.

Schedule a newsletter

To publish newsletters without approval, you need the "Publish Newsletters" permission.

  1. Enable Schedule for later
  2. Select a date and time for your newsletter to be published
  3. Select Review & Schedule in the editor toolbar
  4. Review your newsletter's details
  5. Select Schedule now to send your newsletter. If you need to make changes, select Back.

Alternatively, a draft newsletter can be scheduled by dragging and dropping it in the Studio Calendar.

You can see your scheduled newsletters in Dashboard > My work > Scheduled or in the Calendar on the day the newsletter is set to be sent. Before the newsletter is sent, you can Cancel publishing by opening the newsletter in the editor.

Request approval for a newsletter

A user without publishing permission submits their newsletter for approval before it can be sent.

Before submitting your newsletter for approval, you can enable the Schedule for later option to set a specific date and time for it to be sent. If you set a scheduled date and time, the newsletter is automatically sent at this date and time after it is approved. If you don't set a scheduled date and time, you need to manually send the newsletter after approval.

  1. Select Review & send for approval in the editor toolbar
  2. Review your newsletter's details
  3. Select Send for approval. If you need to make changes, select Back.
  4. Choose an approver for your newsletter. A newsletter can only have one approver.
  5. Select Send for approval to submit

You can see your newsletters awaiting approval in Dashboard > My work > Under approval. You can, at any point during the approval process, Withdraw the newsletter to make additional changes to it. If you withdraw it, you need to submit it for approval again.

An admin can't change the content or settings of your newsletter, so if they want changes to be made to it, they can comment on it and reject it for you to make changes before resubmitting it for approval.

Send an approved newsletter

After an admin approves your newsletter, the following steps depend on whether you scheduled it before submitting it for approval.

  • A scheduled newsletter is queued for sending automatically according to your schedule. You can see it in Dashboard > My work > Scheduled.
  • An unscheduled newsletter needs to be sent manually.
    1. Find and open the newsletter in Dashboard > Tasks for today > Ready for publishing
    2. Select Send now to send the newsletter immediately.

You cannot make changes to an approved newsletter unless you withdraw it from approval. Doing so means you'll have to resubmit it for approval again.
