Creating and publishing wiki articles with Haiilo MCP

With the Haiilo MCP integration, you can create, update, and publish wiki articles through your connected AI tool. Describe what you want, work with the AI to refine it, and publish it when you're ready. All access remains permission-aware, so the AI can only write where you can write.

To use this feature, you need to connect to the Haiilo MCP integration and allow the wiki management tools. Learn more in Understanding the Haiilo MCP integration.

What can you use it for?

Use AI to draft and maintain wiki content faster, especially when you're starting from notes or another source. For example:

  • Documenting a process: Ask the AI to draft an article that explains your expense process. Why? Get a structured first version quickly and review it before anyone else sees it.
  • Keeping articles current: Update an existing article with a new menu path, or restructure it into clear sections. Why? Refresh outdated documentation without rewriting it by hand.
  • Releasing drafts: Review the drafts waiting to be published and publish them. Why? Move reviewed content live without leaving your AI tool.

Before you begin

  • The Haiilo MCP integration is connected to your AI tool, and the wiki management tools are allowed in Administration > Integrations > Haiilo MCP.
  • You have permission to create and publish wiki articles in the wiki app you want to publish to. This depends on the wiki app's Publishers setting. If set to Admins, you must be an admin of the page or community hosting the wiki.

Create a wiki article

  1. Describe the article you want to create and where you want to place it. For example: "We're adding a new article to the HR page. It should explain our onboarding process for new hires."
    • To create a sub-article, also mention the parent article. For example: "Add a new article below the 'Onboarding' article."
  2. Confirm the wiki app. The AI looks up the wiki apps in the specified location where you're allowed to create articles. If several wiki apps match, it shows all of them and asks you to choose. For example, if the HR page has four wiki apps, the AI lists all four and asks which one the article should go in.
  3. Review any warnings. The AI checks for similar or conflicting articles and flags them. A warning doesn't stop you from creating the article, and no warning doesn't guarantee that no similar article exists.
  4. Review the draft. The AI saves the article as a draft in the wiki app you selected, so it isn't visible to readers until it's published.
  5. Ask the AI to refine the draft until you're happy with it.
  6. When you're ready, ask the AI to publish the article and confirm when prompted. The AI always asks for your explicit confirmation first, because publishing makes the article visible and can notify readers.
  7. Check the article in the wiki app on your Haiilo platform.

Update an existing wiki article

  1. Ask the AI to open the article. For example: "Open the onboarding article so we can fix the outdated section." The AI retrieves the current version of the article.
  2. Describe the changes you want. For example: "Update the setup section with the new menu path XX."
  3. Review the changes the AI proposes. The AI replaces the entire article content, so it always starts from the current version and keeps everything that should remain.
  4. Confirm the update so the AI can save it.

Editing a published article changes what readers see immediately.

Good to know

  • Supported articles: Only articles in the default language that consist of a single rich text editor widget can be edited.
  • Revision conflicts: If an article changed after the AI opened it, for example, by someone editing it on the platform, the update or publication is rejected. Ask the AI to open the article again and retry.
  • Locks: If someone else is editing an article, wait or coordinate with them before making changes.
  • Notifications:
    • Publishing an article sends an in-app notification to page subscribers or community members, just as when an article is created directly on the platform. Learn more in Creating wiki articles.
    • Updates notify readers only if a notification is enabled for the article on the platform. Learn more in Editing or duplicating wiki articles.
