Email notifications in Haiilo differ depending on the module(s) you use. However, session emails are sent for all modules.

If the admins have activated email notifications, you can receive emails from Haiilo. The settings can be found in your user profile drop-down > Notifications.
The Email option enables you to receive a summary of updates and missed content since your last visit. You can access the platform directly by selecting a link in the summary email. Summary emails can be sent at specified times per your time zone:
- Every day: Every day at 10:00.
- Every week: Every Monday at 10:00
- Every 2 weeks: 1st and 15th day at 10:00
- Every month: 1st day at 10:00
An email is only sent if there's been activity in the platform since the user's last login. The email summary can contain any of the following notifications:
- Company News: All blog posts from auto-subscribed pages.
- Articles: All blog posts from pages that you've subscribed to yourself.
- New mentions of you on the timeline
- New unread chat messages
- New comments on Timeline posts you're subscribed to
- New invitations to communities and events
- New followers
Design
The default theme in your Haiilo platform is used for the design of the email notifications. Admins can edit the default theme to change the email design. The following colors are used:
- Navigation bar background → Background of the email header
- Main background → Background of the email
- Main button background → Buttons in the email
- Link color → Links in the email's text
- Text color → Text in the email
Email clients display emails differently, and some, like Microsoft Outlook, may not properly show the design. Haiilo cannot, unfortunately, influence this.
Text
Admins can customize the text in the emails by editing the interface translations. The language keys for the text in the email start with "email", e.g., email.email_notification and email.email_welcome.
The email header name is taken from your platform's network name, which you can find from Administration > System settings > General settings > Network Name.
Sender
The sender email is noreply@mail.coyocloud.com or noreply@haiilo.app. It's recommended to add these email addresses to an allowlist to ensure they are received by your users.
The sender email can be changed with the custom domain add-on.
Language
Each user receives the email in their preferred language as set in their Account settings.
- When opting for the email channel in your survey, you'll have the ability to customize the email subject, title, and body for each language after creating a campaign but before it starts. An email can only be edited on a campaign level.
- Go to Surveys > Campaigns
- In the Scheduled tab, select Notifications for the campaign you want to edit
- You can edit the information for new and reminder emails
- Select Save the email to apply your changes
Below the edit fields, you can see a preview of what you're email will look like. The logo in the email header is taken from the Logo field in the Organization tab. Some elements in the email are defined by Haiilo and cannot be edited.
Sender
Surveys are sent from the email address no-reply@haiilo.com. It's recommended to add this email address to an allowlist to ensure surveys are received by your users. The email sender name is Haiilo.
Language
Each user receives the email in their preferred language as set in their Account settings.
- When using the email channel for your Multichannel post, Haiilo provides a predefined template. The email subject is the post's title, and the content is formatted as follows:
Sender
Multichannel posts are sent from the email address no-reply@haiilo.cloud. It's recommended to add this email address to an allowlist to ensure the posts are received by your users. The email sender name is taken from your platform's network name, which you can find from Administration > System settings > General settings > Network Name.
The sender email can be changed with the custom domain add-on.
Language
If you use the multi-language add-on, each user receives the post in their preferred language as set in their Account settings. However, if the post is not available in their preferred language, they will receive it in the first language that the post was created in.
