User profiles are like digital business cards that help employees connect and network easily. When profiles are complete, they make the platform feel more personal, which boosts user engagement. This not only helps everyone find the right contacts quickly but also builds a stronger organizational culture by encouraging openness and inclusivity. User profiles can be filled in from a directory or users can add their own information.
Users need "Access own profile" and "Access other profiles" permission to access their own and other users' profiles. Additionally, users need to have the "Manage user profiles" permission to input their own information into their profile.
Structure
A user's profile can be made up of three tabs:
- Activity: The user's personal timeline.
- Information: The user's information. You can read more about this below.
- Kudos: Any kudos the user has received. This is only visible if kudos have been activated for your platform.
Additionally, a user's profile includes a cover and profile image.
Available profile fields

You can add more fields using Haiilo's API. If you maintain basic information about your users (e.g., department, office, etc.) in a user directory, you can synchronize the corresponding profile fields directly from the user directory. Alternatively, user profiles can also be filled via Haiilo's API.
An admin with access to moderator mode can edit profile fields for individual users.
Profile and cover images
To add a visual aspect to your profile, you can upload a profile and cover image. Profile images cannot be imported from a user directory. The maximum image file size for profile and cover images is 10MB. The image is always static, i.e., you cannot use a GIF as a profile image.
To ensure the best appearance of your images, we suggest using the following pixel and aspect ratios:
- For profile images, use 160x160 pixels with a 1:1 aspect ratio.
- For cover images, use 1200x200 pixels with a 6:1 aspect ratio.
If the ratios of your uploaded images differ from the ones mentioned above, a pop-up window will appear enabling you to adjust the focus of the image. To optimize display and save space, Haiilo converts images to 160x160 pixels and 1200x200 pixels for profile and cover images, respectively.
If a user doesn't use a profile image, Haiilo will automatically create an avatar with the user's initials for the profile image. The cover image will remain empty.
