Example: Department page

In today's workplace, transparency is essential. Having department pages on your intranet therefore is crucial to ensure that important information is centralized and easily accessible to everyone within but also outside the department. The layout of this kind of page generally varies depending on the size and structure of your company.

Aim of the page

Before creating the page, consider its objectives:

  • Informing employees about important news, updates, and events from the respective team.
  • Providing templates for the most frequently used policies, applications, and forms.
  • Digitalizing the most frequently asked questions from employees in a central location.
  • Giving an overview of contact options and areas of responsibility of the team.

Example

This is what a page for an HR department could look like. The Human Resources (HR) department is responsible for all matters concerning company personnel. As one of the most important departments, it should have its page on your platform. Additionally, we recommend auto-subscribing the HR page for all users by default. Users should not be able to unsubscribe from it to ensure the information is distributed to all employees.

The apps used and their purpose are explained below. For a better overview, it's always recommended to use app groups and structure the community's content according to different use cases.

In our example, we have used four app groupings to provide a better overview. In the "HR News" section, users will find news and events from the HR department. The second app group, "Work at Haiilo", is where policies and forms can be found, along with relevant documents. In the "Recruiting" group, users can find all relevant information regarding recruitment. The last app group, "About Us," is where the HR Team presents itself.

The following apps were used in the example above.

  • Timeline app: Using the timeline app (here "HR News"), employees can get in touch with the HR team. Questions that concern everyone can be asked and answered in a transparent way.
  • Blog app: A blog app draws attention to particular activities, job advertisements, news, or developments within HR. The reach of these posts can be increased by sharing them on the timelines of other pages or users.
  • Events app: Exciting events, such as trade fairs and conferences, are made accessible to all employees with the help of the event app. This contributes towards transparent communication, as the employees have the opportunity to learn more about the everyday work of their HR colleagues.
  • Documents app: Important and frequently used documents – such as templates and policies – are stored centrally in the documents app and can be easily accessed by everyone.
  • Wiki app: A HR wiki makes it easy to bring together all existing regulations regarding different topics and frequently asked questions and show them to everyone in an overview. If something is updated or changed, users are automatically informed about this with a notification. 
  • Form app: The form app processes typical applications and change requests on the page, through which employees can quickly submit their inquiries.
  • Content app: We have used the content app (here "Meet the Team") to list the different areas of responsibility of the team members. This makes it easier for employees to find the right contact person for their concerns. We used it for "Interviewer training" in the app group "Recruiting" as well.

Further tips & tricks

  • Consider using widgets to further design your page. Inform your employees about upcoming events, the latest blog articles, or communities you want to recommend to your employees.
  • Add a form app to request changes in personal data.
  • If you also use the Multichannel Communications module, you can add the Multichannel Comms app to showcase posts created in the Studio as they otherwise would not appear in the Timeline App.
