Inviting or removing collaborators on email newsletters

As the author of an email newsletter, you can invite other users to collaborate on your newsletter with you. 

Collaboration allows multiple users to work on the same email newsletter by sharing editing and publishing duties for that specific item. Understand the basics of collaboration in Collaborating on email newsletters.

Permissions in a collaboration

Any user you invite as a collaborator needs to have "Access Studio" permission. Otherwise, they cannot be a collaborator.

When you add a collaborator, the collaborator receives the same Studio permissions as you, the author, but only for this single newsletter. Permissions always mirror the author's permissions for this newsletter. For example: 

  • If you can send newsletters, collaborators can send this newsletter.
  • If you cannot send newsletters, collaborators cannot send this newsletter, even if they normally have sending permission for the Studio.

Only the author has the ability to change the Audience and Sender settings or to invite and remove collaborators. Collaborators cannot complete these actions.

If a collaborator adds a multichannel post or blog article to an email that the author or other collaborators don't have permission to view, they can still see the teaser title, text, and image in the editor, but they cannot access the post to view it in full.

Invite a collaborator to a newsletter

Only the newsletter author can add collaborators to a newsletter.

  1. Open a newsletter you're the author of or start a new newsletter in Studio.
  2. Select Invite in the upper left corner of the editor.
  3. Select Invite users.
  4. Choose one or more users from the user chooser. You should only select users who have "Access Studio" permission, as other users won't be able to access the newsletter.
  5. Choose Select to add your collaborators. 
  6. Once your collaborators are added, you can see their names in the collaborator list. Select Save to confirm your collaborators.
    • If you've added a user who doesn't have "Access Studio" permission, you'll see a "No access to Studio" message next to that collaborator in the list. You cannot save your collaboration until you remove this user from the list. For this user to be able to collaborate on the newsletter, they first need to be assigned "Access Studio" permission.

When your collaborators have been added to the newsletter, their avatars appear alongside the author's in the upper left corner of the newsletter and in the Dashboard lists. 

Collaborators receive a notification in the notification bell when they are added as a collaborator. They can access the newsletter from the notification or their Dashboard.

Remove a collaborator from a newsletter

Only the newsletter author can remove collaborators from a newsletter.

  1. Open a newsletter that you are authoring with collaborators.
  2. Select Invite in the upper left corner of the editor.
  3. Find the collaborator you want to remove.
  4. Select X next to the user.
  5. Select Save to confirm.

The user immediately loses access to edit or manage the newsletter, and the newsletter no longer appears in the user's Dashboard list.
