Understanding page subscription

The Auto-subscribe setting for any page helps you decide who is automatically subscribed to the page to receive its content and whether they have the option to unsubscribe. 

Choosing the best option for your pages ensures that important content reaches the right people while giving users control over their subscriptions and what they see.

Option 1: Off

The Off setting provides users with complete control over their subscription to the page:

  • No users are subscribed to the page. All users, expect the page creator, start off unsubscribed and receive no updates from the page.
  • All users are free to subscribe or unsubscribe from this page manually at any time. Only after they subscribe do they receive updates from the page.

What this means

  • Subscription is voluntary: Users need to manually select Subscribe to receive updates from the page.
  • Find and access: Pages can be found and accessed through the Pages overview, where public pages are listed alphabetically and can also be found via search. Private pages, however, are hidden from users unless they have been given permission to view them. When access is granted, private pages appear in the same way as public pages.

Best use cases

Use this setting for general interest pages or non-essential content where prioritizing user preference is important. You want to avoid forcing users to receive news from sources that may not be relevant to them.

Option 2: Everyone

The Everyone setting makes the page subscription mandatory for your entire intranet user base. You need to have the "Set pages to auto-subscribe" permission to enable this option.

  • All users are automatically subscribed to this page, meaning they will receive updates from it.
  • All users cannot unsubscribe from the page. It is mandatory for all users.

What this means

  • Subscription is mandatory: Guarantees that every user will receive news and updates from this page.
  • Prioritized in the Pages overview: Auto-subscribed pages are always displayed first in the user's Pages overview, ensuring maximum visibility. If the user has multiple auto-subscribed pages, these are ordered alphabetically.
  • Easily distinguishable: Users see an "Automatically subscribed" note on the page. An option to unsubscribe doesn't exist.

Best use cases

Use this setting sparingly. Apply it to mandatory, critical, or company-wide pages like Global Company News, Global HR, and other pages where keeping all employees informed is essential.

If you change the Auto-subscribe setting from Everyone to Off, the change will only affect future subscriptions. Existing subscriptions are not automatically removed. Each user who was previously auto-subscribed will keep their active subscription until they manually choose to unsubscribe (since the 'Off' setting re-enables the unsubscribe option).

Option 3: Selected

The Selected setting makes the page subscription mandatory for a specific group of users, like all Marketing employees. You need to have the "Set pages to auto-subscribe" permission to enable this option.

  • The selected users and/or groups are automatically subscribed to the page, meaning they will receive updates from it.
  • The selected users cannot unsubscribe from the page. It is mandatory for the selected users.

What this means

  • Subscription is mandatory (for selected users): Guarantees that specific users will receive news and updates from this page.
  • Prioritized (for selected users) in the Pages overview: Auto-subscribed pages are always displayed first in the user's Pages overview, ensuring maximum visibility. If the user has multiple auto-subscribed pages, these are ordered alphabetically.
  • Easily distinguishable: Selected users see an "Automatically subscribed" note on the page. An option to unsubscribe doesn't exist.
  • Find and access: Users who are not part of the mandatorily subscribed group can find and access pages through the Pages overview. Public pages are listed alphabetically and can also be located via search. Private pages, however, are hidden from users unless they have explicit permission to view them. Once access is granted, private pages appear in the same way as public pages.

Best use cases

Ideal for department pages (HR, IT, Sales), confidential project spaces, or regional content that needs to be seen only by a defined set of individuals.
