Transitioning from the Old to New MS Teams App: What You Need to Know

Haiilo's new Microsoft Teams app delivers a more complete Haiilo experience directly within Microsoft Teams, bringing your key content and comms to where users are. With fewer barriers and more proactive touchpoints, your teams stay informed without disrupting their flow. It's easier to set up, easier to manage, and better for engagement.

Let's take a look at what you need to know as you get ready to transition from the old to the new app.

Recommended Steps for Transition

Prepare for the New App

Before you begin your transition to the new app, we recommend you identify key stakeholders and their roles in the transition process (e.g., IT administrators and Haiilo platform owners) to ensure you have everyone on board the project.

Set Up the New App

Configure the new app according to the setup instructions: Setting up a Microsoft Teams app (Public Cloud).

You can set up the app completely in advance since it will be available to your users only after it is published in MS Teams.

Test the New App

Conduct a thorough test of the new app using a test user in MS Teams. Ensure that both the platform experience and notifications function properly.

We suggest setting up a private testing page on your Haiilo platform to which the test user is subscribed. Then, create several blog articles and confirm that the notifications are being received in Teams.

Inform Your Users About the Change

When the new app is ready to deploy in your MS Teams environment, notify your users about the upcoming change and set a specific date and time for the transition.

Publish the New App

On the date and time you selected for the change, publish the new app in your MS Teams environment for the users who need access to it.

Deactivate the Old App(s)

When the new app is active, be sure to unpublish and deactivate the old app in your MS Teams environment. This will ensure that your users do not have duplicate apps in their Teams or receive duplicate notifications.

The MS Teams app for Haiilo's Studio was previously a separate application. Since Studio notifications are now integrated into the new app, keeping the old one would result in duplicate notifications. Please deactivate the old Studio MS Teams app in your MS Teams environment and also disable the 'Details for deprecated MS Teams setup' section in Administration > Multichannel > Microsoft Teams.
