Structuring knowledge and information on your platform requires efficient and accessible document handling. In Haiilo, document and file storage follows the platform's general logic of housing content in pages and communities.
To cover the topic, we need to look at three major features:
- File library
- Documents app
- My files
File library
The backbone of your platform's file and document management.
Since most of your content is stored within pages and communities, each page and community has its own file library. Whenever a new app is installed on a page or community, a new folder is automatically created in this library. All files uploaded to a specific app or widget within that app are stored in the corresponding folder. Only page or community admins can manage the files in the library.
Even though each page and community has its own file library based on a decentralized system and specific permissions, users can still navigate between these libraries and access files stored in particular locations. This setup ensures that every file remains in its original library without the need for duplicates, thereby reducing additional maintenance efforts.
Documents app
Providing the right files in the right context to the right users.
The documents app is your tool of choice for storing files connected to a specific topic at a central location. It can be installed on every page or community. Like every library on the platform, the documents app allows you to flexibly create folders and subfolders and upload your files to the desired location within that structure.
Unlike the file library of a page or community, the files stored in a documents app are readily accessible directly on the page or community. The documents app enables you to bring files to the forefront.
The app can be configured to allow either only page or community admins or all users to upload files, catering to various use cases.
My files
A user's personal file storage.
Each page and community on the platform has its own library, and every user has a personal library called "My Files." This library serves as a storage space for files, documents, and other media that a user wants to keep or share on the platform. The content within this library is only accessible to the individual user.
Additionally, the personal library, located in the user drop-down menu, can be used as the entry point to access the platform's collection of file libraries to move between the libraries of individual pages, communities, and homepages.
