You can create newsletters in the Studio. You need "Access Studio" and "Create, edit and delete Newsletters" permissions to create newsletters. You need "Publish Newsletters" permission to send newsletters. Users without this permission can only create and edit newsletters but require approval from an admin to send them.
1. Start your newsletter
- Go to the Studio from the main navigation bar.
- Select Create > Newsletter or New newsletter > Blank.
- At the moment, templates aren't yet available in the newsletter builder.
- In Send as, select who will appear as the newsletter's sender: you or a page. The sender's name is shown to users in their inboxes.
- Define a Subject for your email. The subject is shown to users in their inboxes.
- Create and design your email.
A draft of your newsletter is saved and updated within a few seconds every time a change is made. This means you can leave the editor, and your newsletter will be saved automatically so you can return and finish it later. Only the latest version of your newsletter is saved. Your drafts can be located in the Studio from the Dashboard or Calendar.
2. Add content to your newsletter
You can add content to your newsletter by using the editor toolbar, and if enabled for your platform, you can ask AVA to help produce text for your newsletter. In addition to text, images, formats, and styles, you can add various content and layout types. The options available when designing a newsletter are explained below.
When you're done designing your newsletter, you can provide it in additional languages before moving on to adjust the settings before publishing.
Available content or layout type | Description |
Placeholder |
You can add placeholders to personalize the message. The available placeholder fields are First name and Last name. The actual information of the recipient will dynamically fill this field. The metadata is taken from a user's profile on your platform. For example, if you select {firstName}, a user will see their own first name populated in that place when they read the newsletter. |
Two-column or three-column layout / |
You can add a two- or three-column layout to your email so that you'll be able to provide multiple pieces of content on the same row, e.g., two blog articles next to each other instead of one under the other. |
Blog article |
You can add a published blog article to your email. Only blog articles from public pages and communities can be added. The article title and teaser text will display in the email. Teaser images are not supported yet. When users click on the article in the email received, they will be taken to the article on your platform. |
Multichannel post |
You can add a published Multichannel post to your email. The post title and teaser text will display in the email. When a user clicks on a post in the email received, it will open on your platform. However, if the user was not included in the multichannel post's target audience, they will not have access to the full post. |
Images can increase the size of emails, potentially causing delivery issues depending on the size limits set by the customer's IT department. Therefore, we recommend using lightweight images and avoiding adding too many. Additionally, keep in mind that directly playable videos aren't supported in emails.
3. Adjust your newsletter's settings
When getting ready to send your newsletter, you can configure the settings on the right-hand side of the editor.
Once you've finished creating and configuring your draft newsletter, you can send it for approval or publish it, depending on your permissions. Learn more in Sending email newsletters.
Background color |
You can define the background color of your newsletter by inputting a HEX or RGB value or selecting a color from the color picker. By default, the background color is white (#FFFFFF). |
Schedule for later |
You can set a scheduled date and time for your newsletter before requesting approval or publishing. The newsletter is scheduled automatically for the set date and time. If the newsletter creator doesn't define a date and time before requesting approval, they need to publish it manually after approval. Learn more in Sending newsletters. |
Test |
You can send yourself a test email to preview how your newsletter will look for your end-users before sending it to them. A test email will be marked as "TEST EMAIL -" at the beginning of your defined email subject. |
Audience |
You target your newsletter to ensure it reaches the right users. The newsletter creator is preselected and fixed.
Once you select an audience, a list of targeted users appears under Show selected audience. |
