Both the list and form applications serve as practical tools for request management. Lists offer a comprehensive overview accessible to all users, while forms provide detailed, private submissions with greater customization flexibility.
Aim of the apps
Both apps share a lot of DNA and streamline and simplify the process of requests in Haiilo. At the same time, they serve different use cases:
Form app
The form app is ideal for orders or applications that require multiple description fields. It enables you to gather and process data collaboratively while ensuring confidentiality. You can seamlessly integrate the form app on any page or community, customizing the fields to fit your specific needs. With various design options, you can include introductory texts and short descriptions, making it a versatile tool for diverse use cases:
- Vacation requests
- Page or community requests
- Order forms
List app
List apps are highly adaptable. You can tailor them to various everyday situations, from creating order lists for office supplies to managing company vehicles or maintaining dynamic lists of telephone numbers. The initial list is intentionally empty, allowing you to customize the field combinations and designations to suit your specific needs. This flexibility makes list apps particularly useful for a wide range of dynamic and personalized use cases:
- Managing inventory and supplies
- Coordinating company resources
- Organizing contact information
Depending on the app's configuration, the list can be edited and customized by any user or admins only, making it a flexible and convertible tool for various organizational needs.
Examples
To make both apps and their use cases more tangible, let's provide you with some typical examples.
Form app
This is what a form for requesting office supplies could look like. The fields used and their purpose are explained below.
We selected the following fields:
- User: The person requiring the office supplies.
- Options: Articles needed.
- Number: Quantity of articles needed.
- Text: For additional comments.
You can configure every field individually.
If you activate the checkmark to "hide" the field, it does not show in the overview but only in the final export of the form.
List app
This is what a list for providing an overview of requested office supplies and their order/delivery status could look like. The fields used and their purpose are explained below.
We selected the following fields:
- User: The person requiring the office supplies.
- Options: Articles needed.
- Number: Quantity of articles needed.
- Checkbox: If the articles have been ordered yet.
- Date: Delivery Date, once it is known.
You can configure every field individually.
The list app shows an overview of all orders for everyone to see. It can be easily edited (for example, once the articles get ordered, the checkbox is set to ✅).
Further tips & tricks
- Form App: Use the "hide" option if your users should see only the entries but not all the data. Additionally, use the "Confirmation" checkmark, which indicates that the user filling out the form receives an email confirming the reception of their application.
- In the advanced settings of the Form app, you can also determine whether specific users should always be notified about new entries. For example, the manager who approves the vacation in case your use case is vacation requests.
- At Haiilo, our most used case for the List App globally is to provide an overview of recorded town hall meetings so that all employees have access to sessions they might have missed.
