Updating your status

It's important to display your availability to your colleagues while working on the platform. You can do this by setting your status, which can be changed to reflect your availability.

If you will be unavailable for some time, set your status to Away. If you are concentrating on a task and do not wish to be disturbed, set your status to Do Not Disturb. This will keep your colleagues informed of your availability.

Additionally, you can add a personalized message to your status to provide more context.

Statuses

There are five statuses in Haiilo. Two of these statuses are set automatically by the system unless manually changed, while the other three can only be manually set. Each status has a corresponding icon.

Automatic statuses

  • Available: You are online. This status is automatically set when you're active on the platform unless you change your status manually. Your profile will display for users toggling by Availability = Online in the Colleagues list and be counted in the Online users widget.
  • Invisible: You are offline. This status is automatically set when you're not active on the platform. You can also change your status manually to Invisible if you want your status to be hidden. When you're marked as Invisible, your profile shows no status.

Users are set to Available upon accessing the platform by default, but admins can change the default setting to Offline (Invisible) in Administration > System Settings > General Settings.

Manual statuses

  • Away: You can select this if you're stepping away from your desktop for a while. E.g., you're going to lunch.
  • Do not disturb: You can select this if you don't want to be disturbed. E.g., you're focusing on an important task.
  • Out of office: You can select this if you're going to be out of office. E.g., you're going on vacation.

The status names can be changed by customizing the interface text for the PRESENCE_STATUS language keys.

Update your status

  1. Select your user profile in the upper right corner to open the drop-down menu
  2. Select Change status
  3. Optionally, write a message to accompany your status. E.g., "Back July 15th" and select Enter
  4. Choose a status. E.g., Out of office

Your status is automatically saved and can be seen on your user profile, in the chat, and the Colleagues list.

Remove a status message

  1. Select your user profile in the upper right corner to open the drop-down menu
  2. Select Change status
  3. Select next to your status message to remove it
  4. Select another status, if applicable
